Logging in for the first time

When your user account has been created, you will receive a system generated welcome email.

Click on the ‘Website’ link in the email which will open a new browser tab and navigate to the portal website.

At the login window, enter your credentials as documented in the email:

For security, you will be prompted to change your password at first login attempt. The portal will send you a further email with instructions.

Click on the reset link in the new email you receive: this will open a new browser tab. Enter your new password twice and click ‘Reset’:

If the password meets the required criteria, it be accepted, and the password reset will be confirmed:

Click the ‘Continue’ button in the previous browser tab or open a new browser tab and navigate to: https://www.telephony-cloud.com.

Enter your username and your new password.

The next step is to set up Two-Factor Authentication (2FA) which requires an Authenticator App to be installed on your mobile device.

There are several authenticator apps available for your mobile device which can be downloaded and installed from the App Store and Play Store respectively.

Two popular apps are shown below but others are available.

Google Authenticator

Microsoft Authenticator

Please note: if you are setting this up for an administrator account, due to the new 2FA process, you will not be able to share the account with other people in your organisation. Therefore, you should ask your technical support team to create an administrator account for each member of staff that requires access.


2FA Setup & Configuration

Follow the on-screen prompts:

Enter the authentication code and click verify.

You will now be asked to save and securely store the displayed recovery codes which can be used to gain access to your account if you lose access to your mobile device or authenticator app.

After saving the recovery codes, click Continue and you will be logged in to your account.

As a security best-practice, always click ‘Logout’ when you are finished.


Regular Login

Please note, if you are logging in to an administrator account, due to the new 2FA process, you will not be able to share the account with other people in your organisation. Therefore, you should ask your technical support team to create an administrator account for each member of staff that requires access.

If you log in on the same device within 14 days of your last 2FA authenticated login, and you ticked ‘Remember me’, your 2FA token will usually still be valid and you will just be prompted for your username and password credentials.

If it has been longer that 14 days since your last login, your 2FA token will have expired and you’ll need to enter a valid authenticator code from the authenticator app on your mobile device.

If you’ve used a valid authentication code, your login will be allowed. If you tick ‘Remember this device’, the 2FA token will be valid for up to 14 days, so you won’t be asked to authenticate in this way again until the token has expired.

As a security best-practice, always click ‘Logout’ when you are finished.


Resetting your password

If at any point, you need to reset your password, at the sign in prompt, click the ‘Forgot Password?’ link:

Enter your username and click ‘Reset’.

The system will send you a password reset email.

Click on the link in the email, which will open a new browser tab:

Enter a new password and confirm then click ‘Reset’:

If the password meets the required criteria, it be accepted, and the password reset will be confirmed:

Open a new browser tab and navigate to: https://www.telephony-cloud.com.

Enter your username and your new password to log in.

As you’re resetting your password, you will also be asked to revalidate your 2FA token.

Enter a valid authenticator code from the authenticator app on your mobile device.

If you tick ‘Remember this device’, the 2FA token will be valid for up to 14 days, so you won’t be asked to authenticate in this way again until the token has expired.

If you’ve used a valid authentication code, your login will be allowed, and you will be redirected to the desired website.

As a security best-practice, always click ‘Logout’ when you are finished.
